Draft for review — items in [brackets] will be confirmed before publishing.
By enrolling with Precious Minds Tutoring Services you agree to the following terms.
1. Our Services
Precious Minds Tutoring Services ("Precious Minds", "we", "us") provides one-on-one, face-to-face tutoring delivered in your home by a tutor we assign. We support students following the British curriculum from Year 1 to Year 12, including AS/A-Level, in Maths, Science (Physics, Chemistry, Biology) and English.
Your tutor is selected, engaged and managed by Precious Minds. If your assigned tutor becomes unavailable, we may substitute or replace them with a tutor of equivalent qualification, and we will give you notice before any change is made.
2. Enrollment & Trial Class
- Before enrolling, you may book a trial class so you and your child can meet the proposed tutor and experience a session first.
- Enrollment is confirmed once you have provided the enrollment details we request and paid the first monthly fee.
- A schedule slot and tutor are reserved only for enrolled students — we cannot hold a slot on the basis of an inquiry or trial class alone.
3. Scheduling, Cancellations & Make-Up Classes
- Session days and times are agreed between you and Precious Minds and may fall on any day of the week, including Fridays and Saturdays, by mutual agreement.
- Cancelling or rescheduling: you may cancel or reschedule a session at no charge up to 1 hour before its scheduled start time by messaging us.
- Late cancellations: a session cancelled less than 1 hour before its start — or where the student is unavailable when the tutor arrives — is counted as a held session, and no make-up class is offered. This protects the time our tutors have already set aside and travelled for.
- Make-up classes: sessions cancelled with valid advance notice are made up, scheduled within the same month wherever possible.
- If your tutor is late or absent: any lost time is made up in full at no cost to you — either added to a session or scheduled as a separate make-up class.
4. Fees & Payment
- Fees are a monthly amount per student, in Qatari Riyal (QAR), payable in advance by the [1st] of each month.
- Payment may be made by bank transfer or cash. [Payment details are confirmed at enrollment.]
- Your monthly fee covers the sessions, your tutor's transport to and from your home, and session feedback. There are no separate transport charges.
- A schedule slot remains reserved only while enrollment and payment are up to date.
- If payment is not received by the due date, we will send a reminder; sessions may be paused until the account is settled and will resume as soon as payment is received.
5. Refunds
- If you decide to stop, please give us written notice of [2 weeks] (WhatsApp or email is fine). Any full, unused sessions already paid for will be refunded or credited to a future month — your choice.
- Any trial class fee is non-refundable once the trial has been attended.
- Sessions counted as held under the late-cancellation rule in Section 3 are not refundable.
6. Parent/Guardian Responsibilities
- Provide a quiet, safe and suitable study space for each session.
- Ensure a responsible adult is present in the home for the entire session — tutors cannot conduct sessions with a child who is home alone.
- Help your child have their materials ready (books, notes, homework) and encourage attendance and follow-through between sessions.
7. Safeguarding & Conduct
- Your child's wellbeing comes first. Our tutors are expected to act professionally and respectfully at all times, and we ask for the same courtesy toward our tutors.
- If you ever have a concern about a tutor or a session, please contact us straight away — we take every concern seriously and will act promptly.
- Working with our tutors directly: our tutors' livelihoods depend on the agency that recruits, supports and deploys them. We kindly ask that you do not enter into private tutoring arrangements directly with a Precious Minds tutor, bypassing the agency, while enrolled and for [12] months after your final session. If your needs or budget change, please talk to us first — we will always try to find an arrangement that works for your family.
8. Health & Safety
- If your child is unwell, please let us know and reschedule in advance wherever possible so a make-up class can be arranged.
- Our tutors follow the same rule: an unwell tutor will not attend, and the session will be made up at no cost or covered by a substitute tutor.
9. Privacy & Your Family's Data
- We collect only the information needed to deliver tutoring — such as your child's name, year level, subjects, home address and your contact details.
- Your information is used solely to provide and manage our tutoring services. It is never sold, and never shared beyond what is necessary to deliver the service.
- Records are stored securely and kept only for as long as needed.
- Photos, videos or testimonials involving you or your child (for example on our Facebook page) are used only with your prior consent.
10. Liability
- We deliver our services with reasonable care and skill — in how we select tutors, schedule sessions and support your child.
- Tutoring supports and strengthens learning, but progress depends on many factors, so we cannot guarantee specific grades, marks or exam results.
- Precious Minds is not responsible for events outside its reasonable control.
11. Changes to These Terms
We may update these terms from time to time. We will notify you of any changes via WhatsApp or email before they take effect. Continuing sessions after that notice means you accept the updated terms.
12. Contact & Governing Law
Questions are always welcome: email preciousminds.qa@gmail.com, Facebook facebook.com/preciousmindsqa, or WhatsApp [WhatsApp number].
These terms are governed by the laws of the State of Qatar.
